Position Summary

The Assistant Controller is responsible for supporting the Accounting and Finance team in the overall operations of the department including portfolio accounting, financial and tax reporting, annual budgeting and general accounting. The position reports to the Controller.

 

Areas of Responsibility

Portfolio Accounting:

- Accurate record keeping of the Foundation’s Investment Portfolio.

- Collaborates with the Senior Accountant to prepare reconciliations of administrator reports, investment journal entries, and assists with the monitoring of compliance reports. Assists in the coordination and review of the tax/book cost of investments. Researches investment pricing differences and other questions as they arise.

- Executes and coordinates investment contracts and agreements, including on-boarding and redemption activities, new market opening documents and other account maintenance requirements. Prepares operational due diligence reviews.

- Assists the Controller in monitoring cash in order to redeem assets to satisfy operating needs, preparation of various surveys and other investment maintenance activities.

- Assists with the maintenance of the Investment Contact List, Investment Schematic and other Investment policies and procedures.

- Reviews the preparation of documents necessary to execute Corporate Actions, Class Action Settlements and Proxy Voting related to investments.

- Prepares requested investment schedules for the annual audit, including year-end investment confirmations, information for the financial statements and footnotes, and responds to audit inquiries of investment items during and after field work.

 

Financial and Tax Reporting:

- Coordinates the annual financial statement audit and prepares client assist items as requested by external auditors. Assists with the preparation of materials necessary for the annual Management Report audit.

- Prepares and analyzes the quarterly interim & annual consolidated financial statements, including footnotes.

- Prepares assigned materials and deliverables for Executive Committee, Investment Sub-Committee, Audit Committee and Trustee Meetings.

- Prepares assigned deliverables for 990-PF and 990-T.

 

Annual Budgeting:

- Prepares quarterly reconciliation of general ledger to Active Planner Budget software.

- Prepares, analyzes and distributes quarterly budget variance reports and serves as the budget liaison for assigned departments.

- Participates and provides support for annual budgeting process.

- Prepares assigned budget deliverables for Finance Committee and Trustee Meetings.

- Prepares and analyzes annual budget schedules for completeness and accurate reporting.

 

General Accounting:

- Assists in the maintenance, documentation and analysis of internal controls and makes recommendations on improvements to internal controls.

- Responsible for administration of the general ledger accounting system.

- Prepares quarterly and annual reconciliation of various general ledger accounts to grant making system.

- Reviews and approves monthly and annual journal entries and account reconciliations.

 

Criteria & Relevant Skills

  • Bachelor’s Degree in Accounting or Finance required.
  • CPA preferred.
  • Minimum of 5 years of experience in investment accounting.
  • Analytical, with sound and efficient organizational and planning skills.
  • High-degree of professionalism and accountability.
  • Excellent verbal and written communication skills.
  • Experience at working both independently and as a team player in a collaborative environment.
  • Strong commitment to departmental efforts of team building and continual improvement.
  • Timely approach to problem-solving.
  • Ability to take initiative.
  • Maintains an internal customer-centric environment.
  • Proficiency in MS Office; experience with X3 and/or Active Planner a plus.
